How to invite participants to take an exam

Inviting a specific group of participants to take your exam is possible. To start, all you need is a list of their names and email addresses!

1. Activate invite-only

From your exam, go to Access > A predefined group of participants, and Save. If you want them to enter additional information when they start, refer to how can I identify my participants.

2. Add participants

Once you select A predefined group of participants, an option to add participants will appear. Click Add participants to create a list of participants you’d like to invite to take your exam.

You can add participants to the exam in three ways:

  • Import new participants from Excel: This option enables you to import a list of participants from a .xlsx or .ods file. Make sure to use the provided sample.

  • Add single new participant: With this option, you add participants manually. You must enter a name and email address in the pop-up box. You can select Send an invitation to automatically send the new participant an invitation when you click Add.

  • Add existing participant(s): From here, you can select participants that you previously invited to other content.

3. Format the invitation email

The next step is to format the invitation you send to the participants. Go to Send email to edit the template.

The default template includes several text elements that have {tags} around them. Our system will automatically overwrite these texts with participant-specific information. For example, instead of {password}, it will give a unique password for each participant. To add the URL for the exam, use the Links option.

It is crucial to include tags in your invitation email since they contain essential information for your participants to access the exam.

4. Send the invitations

Go to Send email > Send > Send x invitation email(s) to send the invitations in bulk. You can also send reminder emails from this page to individuals who started but did not complete their exam.

You can track emails sent to participants on the Email status log page.

By default, invitation emails are sent from [email protected]; however, it is possible to send emails from your own email. Refer to Sending emails from your own email address for more information on connecting your own email server.

You’re all done! Your participants only need to open the invitation email, click on the link to log in, and begin their exam.

Exam invitations do not expire.

To save even more time, we recommend using the academy instead. Simply add your exam(s) to the academy and skip sending individual invitations. Read more on getting started with the academy.
